Production and Licensing Coordinator
Alvin Ailey Dance Foundation (AADF) is seeking a highly motivated and personable Production and Licensing Coordinator. This position reports to the Production and Licensing Manager and assists with the licensing and related contracting for AADF productions and projects. The Production and Licensing Coordinator works closely with the General Manager and AADF staff.
This ideal candidate must have a comprehensive knowledge and background of a performing arts organization and a solid production background. Experience in contracting and licensing with a dance/production company is required.
Start date: ASAP
Responsibilities include, but are not limited to:
Assist the Production and Licensing Manager with all rights clearances for requested materials (video, audio, etc.) including:
- Research copyrighted materials and confirm rights ownership with publishers, record labels, production companies, etc
- Submit inquiry/request forms to publishers and record labels
- Negotiate terms for each license (credits, usage limits, platform restrictions, etc.) under the direction of the Production and Licensing Manager
- Draft contracts
- Track new requests and status of current projects, including:
- Ailey’s Development campaigns for Corporate Donors, Sponsors events, etc.
- Marketing Department initiatives
- Third party requests
- Manage and monitor license and royalty payments, including royalty statements
- Create and maintain internal databases
- Manage and maintain the relationship with royalty-free soundtrack subscriptions
- Take on additional duties as assigned
Education and Work Experience:
- Bachelor’s degree preferred
- Minimum of two years in a similar position, including dance, live theater, concerts, and/or production experience
- Experience working independently
Competencies:
- Outstanding organizational and time management skills and attention to detail
- Excellent interpersonal and communication skills, both verbal and written
- Ability to take initiative, multi-task, and work graciously in a fast-paced environment
- Ability to work with diplomacy and tact and remain calm under pressure
- Ability to work independently as well as in teams and groups
- Demonstrate a dynamic and positive attitude
Compensation: Competitive salary. Benefits include employer-provided health/dental insurance, flexible spending account, 403(b) retirement plan, and savings on transit/parking

This position is full-time and is based in NYC and eligible for remote work however subject to change. Standard Ailey office hours are 10am-6pm.
