Join our team! big Burrito Restaurant Group is looking for a Facilities and Maintenance Manager to work with us.

The Facilities and Maintenance Manager is based in our corporate office in Pittsburgh, PA where we foster an environment of creativity, passion, and teamwork. This position is a full-time interim role (initial 6-month assignment) with potential to become a full-time regular position.

The Facilities and Maintenance Manager is responsible for:

1. Participating as a member of the Management Team.

2. Managing emergency and discretionary repair and maintenance of FF&E in existing locations.

3. Conduct facility audits with store GMs by zone semi-annually

4. Establishing and enforcing guidelines to ensure our facilities maintain our standards of excellence so that management can focus on enhancing the guest experience.

5. Co-chairing the company Safety Committee and acting as a leader in safety compliance and improvement initiatives


PRIMARY RESPONSIBILITIES:


1. Participating as a member of the Management Team

a. On an ongoing basis maintain standards of excellence while actively seeking out opportunities for increased efficiency and cost savings in all areas of responsibility.

b. Establish personal short-term period goals that are consistent with the overall strategic plan of the Company. Include an evaluation of how to measure success.

c. Oversee set up and day to day usage of NetFacilities management software for preventative maintenance programs, emergency/current R&M projects, discretionary R&M projects, and discretionary maintenance and renovation capital expenditure projects by location.

d. Together with or on an alternating basis with the Design and Construction Manager, lead the CapEx meetings.

e. Collaborate with the Design and Construction Manager once a quarter to evaluate and update plans in NetFacilities for all discretionary items.

2. Managing emergency and discretionary repair and maintenance of FF&E in existing locations.

a. Collaborate with GM, RM, SVP of Operations, Founder, and Design and Construction Manager on timeline, on-site project management responsibility, and invoice approval.

b. Supervise the Facilities and Maintenance Technician

a. Delegate projects to the Facilities and Maintenance Technician as appropriate

b. Oversee progress of projects being executed by the Facilities Maintenance Technician

c. Meet at least once per 4-week period with the Facilities and Maintenance Technician to review project progress, any issues or concerns with regular maintenance tasks, and set the schedule/plan for the upcoming period

c. Manage day-to-day restaurant repairs

a. Assist restaurant managers on making repair calls when needed.

b. Directly handle all follow up on warranty invoices

c. Ensure 24-hour resolution of critical equipment repairs, such as steamers, HVAC, and margarita machines

d. Update vendor book as needed

e. Independently handle emergency store repair setup/calls as needed 24/7.

a. On site visit as deemed necessary.

f. Review daily new item report in NetFacilities to see all projects added during the prior day.

g. Oversee usage of NetFacilities software for asset management of existing FF&E.

a. Establish preventative maintenance schedule. Send reminders to store and communicate with director

b. Track warranties on all equipment.

c. Ensure that scheduled preventative maintenance is being performed according to the agreed upon scope and price.

d. Collaborate with Design and Construction Manager to determine if a piece of equipment should be replaced or repaired.

h. Collaborate with GM/KM to approve weekly R&M invoices. Ensure all items are allocated to the appropriate GL account.

i. Order all replacement furniture and fixtures for existing locations.

a. Take measurements for and determine compliance with necessary specifications for size, function and layout for all furniture and fixture replacements, and upgrades

3. Conducting facility audits with store GMs by zone semi-annually

a. Collaborate with Design and Construction Manager to develop audit schedule.

b. Audit restaurants from a repair and maintenance perspective to include

a. Wear and tear

b. Damage

c. Equipment function

d. Furniture condition and function

e. Finishes and walls (varnish, paint, concrete, sealants, caulking, FRP, tile, plaster, wallpaper etc.)

f. Floor and ceiling conditions (including carpeting and mats)

g. Restroom fixtures

h. System function (lighting, stereos, TVs, AV equipment, etc.)

i. Upholstery and fabric finishes

a. Communicate with the Design and Construction Manager regarding the proposed plan of action to correct all issues and carve out any project that is expected to exceed $15,000 to be handled by the Design and Construction Manager.

b. Develop action plan and schedule to remedy all remaining audit findings.

c. Hire the appropriate repair/maintenance partners to complete the work.

d. Follow up with weekly updates to the location and RM on progress.

4. Establishing and enforcing guidelines to ensure our facilities maintain our standards of excellence so that management can focus on enhancing the guest experience.

a. Establish best practices for care and handling of all restaurant FFE. This will require communication with manufacturers as well as GM/KM/RM/Design and Construction Manager to discuss ongoing challenges.

b. Maintain water, steamer, and pest charts for all locations. Contact locations directly to obtain any missing information.

c. Oversee rates and usage for all utilities at the restaurants. This includes monitoring utility usage and store water reports. Establish best practice to minimize costs.

d. Manage seasonal and health and safety concerns both from a preventative and remedial standpoint, including pest control, and seasonal needs (snow removal, awning maintenance, grass cutting, etc.).

5. Co-chairing company Safety Committee and acting as a leader in safety compliance and improvement initiatives

a. Together with an HR Representative, prepare for and lead monthly Safety Committee meetings and inspections of restaurants

b. Serve as the lead in correcting safety issues at the restaurants. Follow up with store management in order to ensure items identified through safety inspections are resolved in a timely manner.

c. Guide the development of companywide best practices with regards to employee and facility safety.

d. Collaborate with the Human Resources co-chair of the Safety Committee to review employee and customer injury reports and make recommendations to minimize preventable occurrences.

SKILLS AND QUALIFICATIONS

Required:

  • A bachelor's degree in facilities management, engineering, construction management, or a similar field and 3 years of progressive relevant experience; or an equivalent combination of education and experience.
  • Excellent written and spoken communication skills
  • Attention to detail including the ability to understand and maintain standards for store appearance
  • Strong leadership and analytical skills
  • Strong work ethic and ability to effectively prioritize and address issues with appropriate sense of urgency
  • Knowledge of basic HVAC, electrical, plumbing, refrigeration, and building systems
  • Understanding of relevant federal, state and local laws, regulations, rules and codes.
  • Proficient in Microsoft Office
  • Proficient in facilities management software systems
  • Ability to work beyond regularly scheduled hours when necessary
  • Frequent local travel. Travel to out-of-town locations up to 25%

Preferred:

  • Experience working in the restaurant/hospitality industry
  • Experience with Net Facilities
  • Knowledge of food safety regulations
