THE BRASS TACKS


•Determines work assignments during their shift.

•Assists the Community Association Manager with regular community announcements via the BuildingLink email module and bulletin board communication

•Maintains up to date information of events, both current and future, occurring in region

•Establishes professional familiarity of personal preferences, likes and dislikes of residents and guests

•Answers the telephone in a pleasant and professional manner within three rings

•Coordinates requests, comments and reservations through property intranet service

•Communicates key updates and information to team members and management in a timely manner

•Assists the Community Association Manager with resources for all Shoresmith residents and owners including:

New resident orientation.

Coordinates in-home services such as mail, deliveries, housekeeping.

Coordinates travel and transportation services such as taxi, limo.

Assists the Seattle Support Center with coordinating move in-out fees.

Coordinates the database input (buildinglink.com, DoorKing etc.).

Coordinates light business services, and other services as requested.

Coordinates key access functions

Coordinates access to units for service providers

•Assists the Community Association Manager with the monthly report by providing data on concierge activities, resident moves in/out fees.

•Coordinates proper building safety and security measures under the direction of the Community Association Manager.

•Ensures team maintains a clean, neat and orderly desk at all times.

•Ensures team observes Columbia Hospitality Values throughout each day.

•Ensures that all operating and service standards are followed with the other concierge sharing their shift.

•Responds to all resident and guest requests/inquiries in an expeditious manner.

•Performs other tasks as assigned


THE NITTY GRITTY


•Two or more years related local experience and/or training; or equivalent combination of education and experience.

•Excellent verbal skills.

•Excellent leadership skills.

•The ability to read, write and speak English fluently is required to analyze, and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.

•Ability to write routine reports and correspondence.

•The ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists and the ability to interpret instructions furnished in written, oral, diagram or schedule form is required to successfully perform the essential duties described above.

•Must be familiar with Microsoft Word, Excel, Outlook and other computer programs.

•Have a professional, friendly, and enthusiastic demeanor.

•Be detail-oriented and have exceptional organizational skills.

•Be reliable and punctual.

•Have the ability to multi-task and work in a fast-paced environment with shifting priorities.


PHYSICAL ASPECTS OF THE POSITION:


•Sitting, speaking and hearing, and the use of hands to finger, handle or feel is necessary 100% of work time.

•Reaching with hands and arms to answer telephones, retrieve data, etc. is required for up to 90% of work time.

•Standing, walking, stooping, kneeling and crouching or crawling is required for up to 75% of work time.

•Lifting up to 25 pounds is required for 40% or less of work time.

•Close vision (clear vision at 20 inches or less); distance vision (clear vision at 20 feet or more); peripheral vision, and depth perception are required to successfully perform the duties of this position


ACCOUNTABILITY


•Must be accountable for completion of tasks according to established policies and procedures for timeliness, appearance, and safety. Must have knowledge of proper Operating Procedures relating to service and standards. Exercise excellent public relations skills while maintaining good relations with residents and guests. Anticipate potential problems and follow through with appropriate solutions, seeking assistance as necessary.
