Billing Production Supervisor

Job Function:

Under administrative review, is responsible for overseeing all aspects of Billing Production within the Accounts Receivable department.

 

The Production Supervisor may perform clerical duties of his or her staff as needed, as well as participate in other projects or special assignments in other sections of the Accounts Receivable department when appropriate.

 

Duties and Responsibilities:

-        Responsible for oversight of all production and quality reviews with employees

o   Production management of staff to be completed weekly

§  Time studies completed to assure production metric is at appropriate using data and reporting to justify

o   Audit of system inactivity and downtime logs

o   Review gaps in production to assure employees do not have unexplained absences throughout their day

o   Overtime scheduling and management

§  Alert Department Supervisor of possible need for overtime due to drops in production, number of individuals scheduled for vacation

o   Issue corrective action plans for individuals not meeting the company policy for production and quality

-          Hiring and onboarding staff as needed

o   Desk and material setup

o   Manage Progressive Production

o   Establish training timeline with Department Supervisor

-          Workload communicated to Department Supervisor and Revenue Cycle Manager to assure on task for monthly closer

o   Periodically review queues via reporting to ensure workload balance

o   Alert of any possible gaps (such as upcoming vacations, individuals who are not meeting quotas, those in training, etc) so that Department Supervisor can re-assign necessary tasks as needed

o   Acknowledge employees with inadequate workloads to reallocate resources (load balancing)

o   Self-manage scheduling of responsibilities so that goals and SOC controls are met

-          Timeclock management (for exceptions)

o   Monitor employee’s timesheets for policy adherence

§  Breaks are following policy

§  Punch in time vs. system activity

-          Monthly meetings with all staff members to communicate production, QA, and other areas of concern

-          Liaison between employees and Manager for basic employee needs such as PTO request, emergencies, issues

-          Assuring all company policies are being followed by employees

 

 

Knowledge, Skills, and Abilities:

 

-          Articulate with excellent written, verbal, and organizational skills

-          Exhibit knowledge of leadership principles and be assertive in exercising the ability to foster relationships with the staff and leadership team

-          Possess good multitasking and problem-solving abilities

-          Must be detail oriented

-          Computer literate with good typing skills (30 WPM minimum, with a focus on accuracy)

-          Understand the roles of all the positions within the department

-          Excellent knowledge of standard insurance claim submission procedures and HIPPA laws

-          Should have a firm knowledge of Medicare and Medicaid claim submission procedures

-          Good knowledge of medical terminology and coding

-          Must have the ability to create a harmonious work environment, while also motivating employees to meet and exceed their goals

 

Qualifications:

 

Required:  High School diploma or equivalency; 2-3 years with Microsoft Suite experience and can exercise ability to navigate and use software effectively. Provide history of Leadership role or education in leadership concepts.

 

Preferred:  1-2 years in a supervisory or leadership role; Associates degree in business or related field; completed coursework/certifications in Finance, Revenue Cycle or other Business Field applicable to production management.
