Job Description:                       Administrative Assistant

                   

Summary: Under the supervision of the Support Supervisor, the on-site Administrative Assistant is responsible for performing a variety of mailroom, clerical and administrative functions that support the claims process and the entire office.

 

Essential Functions:

 

Receptionist, Mail & Administrative Duties

Answer main phone line and appropriately transfer calls

Greet guests, including mail and delivery persons entering the office

Receive, sort and scan very large volumes of incoming mail from USPS and ImageNet

Receive and process returned mail and checks

Maintain the Return and Refund Log

Maintain and manage all requested spreadsheets and logs

Monitor inventory levels and proactively order office supplies as needed 

Request maintenance and repair for printers and scanners

Prepare provider checks and EOBs for mailing by scanning checks, matching EOBs, folding checks and stuffing envelopes

Handle requested outgoing mail and Fed Exes going to providers, clients and/or participants

Maintain Visitor Sign-In Sheet

Respond to email requests relating to client needs

Generate Fed Ex Labels and prepare packages for Fed Ex

Prepare packages for USPS

 

Additional Functions:

Special projects as assigned

FLSA Status: Non-Exempt

 

Knowledge, Skills and Abilities:

Education/Experience – Educational requirements include a high school diploma or equivalent. 

Minimum of one year of previous office experience in a similar role is required 

Clerical experience in an insurance or TPA environment is strongly preferred

Experience scanning documents and saving files is required

Experience preparing outgoing mail using postage scale and meter is required

Requires strong knowledge of Excel, Word, and Outlook. Experience with mail merge is preferred

Skilled in establishing and maintaining effective working relationships with co-workers and clients

Skilled in problem resolution; recommends suggestions to increase accuracy and/or efficiency

Detail oriented with strong analytical skills

Ability to work independently, seeking supervision as needed

Ability to communicate professionally, clearly and effectively, verbally and in writing

Ability to effectively fulfill all functions of the position

 

Physical Demands & Requirements:

Communicates by way of the telephone with participants, customers, vendors and staff

Operates a computer and other office productivity machinery, such as a calculator, copy machine, fax machine and office printer

Remains stationary for extended periods of time

Occasionally exerts up to 20 pounds of force to lift, carry, push, pull or move objects

Visual acuity to perform activities such as identifying, inputting and analyzing data on a computer terminal and/or in hard copy

Occasional reaching to retrieve shelved items

 

Work Environment:

This job operates in a Business Casual office environment with a conversational noise level. 

No substantial exposure to adverse environmental conditions is expected

Moderate pressure to meet scheduled deadlines and deliverables
