POSITION OVERVIEW:

Responsible for performing a variety of administrative functions in support of the Dairy/Deli/Bakery Department.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Compile weekly Merchandiser including new and discontinued items, price changes (only the amount of increase/decrease, not cost), holiday notes, merchandising tips on ad items and receipts
  • Data entry of Ad bookings for all customers
  • Enter OI and BB on Ad deals
  • Maintain competitive ads
  • Record and forward distros to Customer Service for entry
  • Assist with price changes
  • Maintain an organized file system for documents, records, and reports etc. on a weekly basis
  • Data entry of any vendor bill backs
  • Customer contact for special deals
  • Maintain new or deleted stores such as Customer allowance group and promotional customer types
  • Po Expediting – track, push, pull, add and remove items per buyers request
  • Run various reports such as Usage Reports and Vendor Vendex
  • Research of various items such as EDI UPC corrections and EDI Cost corrections
  • Order Book Maintenance
  • Out of the Blue
  • Responsible for holiday or special item pre-sells. Creating sell sheets, Calling vendors per buyer direction for information and photos, gather and enter pre-orders and update buyer on inventory
  • Assist in filtering calls and e-mails while other members of the department are on vacation or out of the office
  • Assist with new item maintenance
  • Assist with Food Show books and maintain vendor samples for wholesalers
  • Assist with special projects
  • Provide support and administration to the Dairy/Deli/Bakery/ VP as well as other members of the department
  • Create and modify documents such as reports, memos, letters using word processing, spreadsheet, database and/or other presentation software.
  • Coordinate agendas, make arrangements and set up/coordinate meetings and conferences as needed
  • Compile and distribute minutes of meetings as needed
  • Support staff in assigned project based work
  • Maintain confidentiality in all aspects of customer, staff information
  • Performs other functions including making photocopies, data entry, faxing, mailing and other duties as assigned

 

EDUCATION/EXPERIENCE REQUIRED:

  • High School Diploma or equivalent with at least 3 year of administrative or office experience required
  • Computer skills required, including knowledge of MS Word, Excel, PowerPoint and Outlook
  • Knowledge of AS400, Merlin and ability to quickly gain knowledge of other various internal systems
  • Strong organizational skills
  • Excellent attention to detail
  • Excellent written and oral communication skills
  • Must be a self starter and have the ability to work under minimal guidance
  • Friendly attitude and helpful manner
  • Must be able to work and adapt in a fast paced environment
