Position:  Golf Shop Assistant

Department:  Golf

Reports to:  Director of Golf

Paygrade: 6

Employee Type: Part-Time Seasonal

Status:  Hourly/Non-Exempt

 

Job Summary

This is clerical and administrative job performing a variety of tasks following established guidelines to assist in the daily operations of the golf pro shop and golf course. The Golf Shop Assistant works closely with the Golf Professional team to provide the highest level of service to the membership and resort guests.  This role also provides administrative support to the golf department team and the Director of Golf.

 

Job Duties and Responsibilities

  • Effectively coordinate and organize golf department; calls, correspondence, outing and event details, department invoices for approvals, and guest contacts/questions. 
  • Support golf department with daily tasks to maintain exceptional guest service.
  • Maintain and order necessary department office supplies, marketing materials and retail product requests.
  • Prepare purchase orders, check requests, and expense reports.
  • Clerical support: copying, faxing, mass mailing, and typing of documents and correspondence and miscellaneous projects as needed.
  • Maintain departmental calendars to keep track of appointments and meetings.
  • Assist the Director of Golf with departmental functions and operations.
  • Communicates and coordinates details prior to and during events and outings with other departments to ensure exceptional experience for guests.
  • Assist in booking tee times and retail sales in golf shop.
  • Review guest surveys, flag and route those with issues requiring follow-up by management
  • Assist golf professionals as needed and directed. 
  • Update golf shop communication log book for staff without email located by time clock. .
  • Other duties as assigned.

Job Specifications

Competencies:

  • Excellent keyboarding, written and oral communication skills required. 
  • Proficient in software applications, including my not limited to Point of Sales systems, SMS Host and Microsoft Office Suite applications including extensive daily work with Excel & Word.
  • Able to create accurate reports in Excel with formulas and graphs.
  • Proficiency required with standard office equipment, i.e. scanner, copier, fax and multi-line phone system. 
  • Effective business writing skills (grammar, vocabulary, clarity and brevity).
  • Clear and concise verbal communication skills.
  • Self-directed and able to maximize use of time, resources and technology.
  • Maintains office, employee and company confidentiality at all times.
  • Dependable and meets goals.
  • Exemplifies professional conduct and adherence to company Core Values.

Experience and Education:

  • Minimum of a high school diploma/GED.
  • AA/AS degree preferred
  • Prior experience working in golf and/or golf retail organization preferred.
  • Combination of education and experience that enables performance of all aspects of the position

Physical & Other Requirements:

    • While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is frequently required to stand.
    • The employee is occasionally required to walk and climb or balance.
    • The employee must regularly lift and /or move up to 10 pounds, frequently lift and/or move up to 25 pounds. 
    • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
    • Evenings, weekends and holidays may be part of work schedule as special events and business needs may dictate.
    • Must have excellent attendance and conduct record for consideration.
